Design and deliver a SharePoint (EDRMS) solution. Including: team level collaboration, outlook integration, Adobe and iMIS (TPB’s CRM), management of legal cases, change management support interface (JIRA) access controls, automated archiving, workflow management and reporting, business process support including approval and sign-off. Implementation of an efficient and effective SharePoint intranet.

TPB have moved Microsoft Office 365 to the cloud. Through the migration an initial drag and drop from a share drive structure to SharePoint has been completed but further work is required to meet business requirements and improve the efficiency of SharePoint across the TPB.

Requirements include a need for building structured processes and standards to enable SharePoint to be fully utilised as an:
1. Electronic Document Records Management System including for:
* Management and tracking of both physical and electronic documents and records, including emails (in and outbound) – linked to workflows
* Records disposal
* Reporting for records management purposes
* Maintain records in series, consignments and units for archiving
* Managing document attachments and document retrieval
* Workflow and case management
* Workflow tracking and reporting
* Process mapping and linking of processes and procedures
* Conversion of Access database tools and complex Macro-enabled Excel reporting sheets to SharePoint
* Integration of SharePoint with different business applications, e.g. JIRA (including Portfolio, Confluence and Service Desk), Outlook, Adobe and iMIS
* Complete records management including auto archiving.
2. TPB intranet and collaboration tools including for:
* Team sites and shared calendars
* Storage for TPB policies and procedures
* Functional search capability.
