Tender Description

Provision of Property Management and Maintenance services.

Scope could include items such as:
* General Property Management:
* Develop inspection policy, schedule and associated reporting;
* Undertake property condition reports;
* Undertake routine property inspections to identify and manage safety hazards, and code / lease violations;
* Maintain occupancy registers, key registers and coordinate the allocation of housing;
* Support relocation of families, meeting / greeting new tenants, coordination of short-term contingency housing, developing tenancy documents, allocating housing and management of utility bills and rates; and
* Oversee security monitoring and undertake security patrols.
* Property Maintenance Management:
* Establish preventative maintenance policies and plans to identify and manage required maintenance;
* Coordinate and manage the maintenance of property;
* Maintain a network of licensed, bonded and fully insured sub – contractors inclusive of selection process and payment;
* Develop and manage a maintenance database and inventory of consumables; and
* Develop and manage emergency maintenance service.
* Property Maintenance:
* Provision of management, labour, materials, loading / unloading, transportation, storage, plant, equipment, tools and consumables required for property maintenance services;
* Maintenance, cleaning and repair of buildings, carports and hard stands;
* Maintenance of electrical systems including RCD and smoke alarm compliance; testing and tagging;
* Cleaning, general inspection, maintenance and replacement of air conditioning unit;
* Plumbing and water services repairs, maintenance and replacement including hot water systems; washers, taps and general fittings; pipes and drains;
* Pool, pool pump; pool electrics filter; pool cover and cleaning equipment maintenance, repairs and replacement including cleaning; replenishment of chemicals;
* Garden and landscaping upkeep and maintenance including mowing lawns, garden edges, plants; reticulation and pool and garden fencing;
* Pest control prevention and treatment; and
* Storage and management of spare parts inventory.
* Employee and Family Support:
* Coordinate relocation of employees and families to housing / greeting new tenants; and
* Coordinate housing allocation;
* Establish and maintain a family transition policy to facilitate moves by employees and their families;
* Pre-tenancy inspection to ensure homes are operational prior to arrival (e.g. power connection; keys);
* Welcome directory (e.g. telephone numbers, maps, schools, community groups and medical facilities);
* Manage transport requirements for arrival/departure of employees and families;
* Logistics support for employees’ assets;
* Coordinate short term contingency housing where required; and
* Support families to integrate with the local community.
