This Request for Tender (RFT) is for VMIA’s loss adjuster, repairer, engineering and restoration services panel (Panel). This RFT will be conducted in accordance with VMIA purchasing policy and Victorian Government Purchasing Board requirements.

The Panel contract will be for an initial term of three (3) years with an option to extend for a further term of two (2) years.

Under the Panel contract, there is no guarantee of any minimum volumes of work being awarded to the Panel. The allocation of work is at the sole discretion of VMIA, and considerations regarding work allocation may evolve and vary from time to time. As a general indication, allocation will be by VMIA according to the requirements of each claim, provider’s speciality and capacity. Allocation will also be subject to any specific circumstances such as provider’s previous performance.

VMIA will not generally seek multiple quotes from Panel members but reserves the right to do so on occasions as appropriate, including seeking fixed fee arrangements.

Some service requirements are likely to evolve during the life of the Panel. In particular, VMIA expects that service standards and reporting requirements may change.

VMIA anticipates it will appoint 1 to 4 Service Providers in each Service Category. These numbers are indicative only and VMIA reserves the right to appoint any number of firms in its absolute discretion to each Service Category.

VMIA reserves the right to request a Service Provider to provide services in a Service Category to which the member has not been appointed if the services cannot reasonably be acquired from firms appointed to that Service Category.

VMIA intends to meet its insurance and claims-related loss adjuster, repairer, engineering and restoration needs through the Panel but is not obliged to do so. The Panel is not exclusive and VMIA may use loss adjuster, repairer, engineering and restoration services from other firms.
