Tender Description

The Yarriambiack Shire Council owns and operates the Caravan Park in the town of Hopetoun and are seeking tenders from persons interested in undertaking caretaking duties associated with the day-to-day operation of the Caravan Park (including the two fully self-contained Cabins under the control of Council).

It is estimated the nominal number of hours to undertake these works will be 25-30 hours per week. The Park Caretaker will be expected to work such hours as are necessary to carry out the functions of the position, seven days a week, 365 days a year.

It is Council’s preference the awarded tenderer will be responsible for nominating relief staff for holidays or in the event of illness, this requirement may be subject to negotiation post tender submission and prior to contract award.

The Caretaker will be responsible for ensuring the Hopetoun Caravan Park and the Council owned Cabins are presented to a high standard of quality reflecting the needs and expectations of patrons of the Park.

A brief summary of the tasks the Caretaker will be required to provide are detailed below:

  1. Answering of mobile phone to take park/cabin bookings, text messages, message enquiries and reply to these enquiries as needed (Council to provide a mobile ‘phone)
  2. Assisting with booking and placement of vans and campers in the Park, whether enquiries taken by mobile phone or via online booking system (Council to provide an iPad for online bookings)
  3. Assisting with the booking of the Council owned Cabins (and referring enquiries re the six privately owned cabins as needed)
  4. Issuing of receipts for cash collected, (noting that while Council’s preference is for all patrons to utilise the online booking system, we are aware some patrons’ preference is to still pay by cash); Requirement to visit the Park twice per day to collect fees; visits should be early morning and late afternoon.
  5. Weekly banking of all cash payments received
  6. Daily cleaning and maintenance of the toilet/shower amenities and laundry amenities
  7. Cleaning and maintenance of electric barbecues, camp kitchen and shelter (as required).

Tasks specific to Council Owned Cabins Numbers 7 & 8 (named Coorong & Lascelles)

  1. Provision of a vacuum cleaner (for cabin cleaning purposes)
  2. Cleaning of Cabins, kitchen (including crockery, cutlery, glassware, cooking utensils, etc), shower, toilet, vacuuming and taking-out used laundry (sheets, pillowcases, towels, face-washers, tea-towels, etc), emptying of waste bins
  3. Remaking beds and replenish all supplies required for cabin hire.

Previous experience in Caravan Park management or the Hospitality/Accommodation industry would be highly advantageous, tenderers should also have computer literacy skills.

The term of this contract will be for one year from commencement (contract execution) with the option of three x one-year extensions at Council’s sole discretion (up to a maximum contract term of four years).

Remuneration for services, will be based on a flat hourly rate (as tendered); the price submitted for the services will be fixed for the first year of the contract. A two (2) percent increase will be applied to the hourly rate for each year of the contract on the contract commencement anniversary date.
