Key problem/s

The Productivity Commission is seeking to replace its current laptop fleet. The Commission currently has 210 units that require replacement in the first half of 2025. The current standard model is a HP Elitebook x360 1040 G6 Touchscreen (with a few G8 and G10 models).

The Commission is looking for a device that preferably meets the following technical specifications (or equivalent):

•      2-in-1 (tablet convertible)
•      14” WLED antiglare touchscreen
•      1 TB SSD
•      Wi-Fi
•      WWAN – 4G LTE
•      Fingerprint ready
•      Tamper lock
•      Pre-Boot UEFI Wi-Fi-support
•      Windows 11 pro-64
•      USB C/thunderbolt on both sides of the device
•      1 x USB A
•      3.5mm Headphone jack
•      HDMI port
•      68Wh hour battery
•      5-year onsite warranty/support (next business day)

Please provide a quote for a suitable replacement model (for 210 units). Please specify brand, model number and all specifications.

This RFI will not lead to purchase from the pricing obtained in this RFI but will help ascertain what models are currently in the market, or about to be released, that would meet our requirements and within our budget constraints.

Once we have reviewed and potentially tested models that fit the technical specifications, the Commission will go out to RFQ on the preferred model. Please advise if you are able to supply a unit for testing. Note this may not be required for our analysis.

The users and their needs

The workload ranges from standard administrative work using Microsoft Office products, to mid-range creative work using Adobe Creative Suite, to mid/high-end data analysis and modelling work.

To cover this range of applications and have one device consistent across all our staff, we require our devices to have considerable processing power and internal storage. We plan to use these laptops for a service period of 5 years or more, therefore ensuring they are able to handle the workloads into the future and have capacity for AI advancements.

Technical/business constraints

The indicative budget is $680,000 inc GST. Can you please provide information and indicative pricing for a suitable model. We expect there to be savings in purchasing at volume for 210 units.
