Tender Description

Edmund Rice College is seeking proposals from suitable experienced caterers, contractors and other interested parties from the food and catering industry for the provision of College canteen and catering services. The College currently has 1070 students in Yr7-12 (all boys) and 120 staff. Proposals must be received by the College by CoB on Fri 7 March 7 2025. The commencement date will be Tuesday 29 April 2025. The Contract will be for an initial 3 year period with the option of a further 2 year extension, pending a satisfactory review at the end of the initial contract period.

School Term Dates 2025 for students:

Term 2: Tuesday 29 April – Friday 27 June (Pupil Free Day Monday 28 April)

Term 3: Tuesday 22 July – Friday 26 September (Pupil Free Day Monday 21 July)

Term 4: Tuesday 14 October – Wednesday 10 December (Pupil Free Day Monday 13 October)

Selection Criteria:

  • The capacity, qualifications and previous experience of the Tenderer in providing a similar service at other schools.
  • The resources of the Tenderer to support the service, hours and period of operation.
  • The proposed foods to be offered (which must be in accordance with the NSW Healthy School Canteen Strategy as published from time to time by the NSW Department of Education & Communities and the NSW Department of Health) including value for money of the proposed service.
  • Any proposed plan for working with the School management to maximise the effectiveness of the operation of the canteen.
  • Tendered licence fee rates under the Licence Agreement.
  • Quality of any reference.
  • The financial capability/stability of the Tenderer.

Information to be provided in the Tender:

The following must be submitted:

  • Business profile
  • Trade references of the Tenderer;
  • Financial statements of the Tenderer
  • Full details of the variety of food to be offered (which must be in accordance with the NSW Healthy School Canteen Strategy as published from time to time by the NSW Department of Education & Communities and the NSW Department of Health)
  • Sample menus with pricing (inclusive of GST)
  • Details of a hygiene plan and training programme
  • Details of the proposed licence fee (exclusive of GST) to be paid for the first year under the Licence Agreement
  • Proposed staffing numbers to run the canteen
  • Evidence of appropriate insurance for the cover required under the Licence Agreement.
