The Australian Grand Prix Corporation (AGPC) is intending to release a Request for Tender (RFT) in April 2025 and is seeking Expressions of Interest for the provision of Air Conditioning Hire and Installation services for future Australian Motorcycle Grand Prix events (Event), to be held at Phillip Island Grand Prix Circuit (Site) in 2025 and 2026.

The following document provides additional information regarding the contract requirements.

EVENT

The 2025 Australian Motorcycle Grand Prix will be held at Phillip Island within the month of October 2025. The Event will be held over three days (Friday to Sunday inclusive) with motor racing events beginning at approximately 8.00am and concluding at approximately 5.30pm each day. The Event comprises separate Grand Prix for MotoGP™, Moto2™ and Moto3™ motorcycle classes plus support categories.

The Event is typically held in October of each year. For the avoidance of doubt the actual dates for the 2026 Event shall be confirmed by the FIM in approximately November of the preceding year.

Construction of infrastructure to facilitate the Event is carried out over a 6 week build period in accordance with a strict Construction Programme, with dismantle beginning immediately following the Event. Full dismantle is required within two and a half weeks of the Event.

SCOPE OF WORKS

The scope of services under the Contract include, but are not limited to:

• Supply on hire, deliver, install, commission, service, maintain and remove air conditioning and evaporative cooling equipment.
• Transportation, unpacking and repacking of air conditioning and evaporative cooling equipment.
• Have available contingency stock and standby labour on hand to support any additional requests which may occur from last minute change or weather impacting conditions.
• Provide a variety of air conditioners suitable for varying applications.
• Inspection, test records and basic service of all air conditioning equipment prior to installation on site.
• Service and maintenance of existing air conditioning units installed in the Infrastructure Site Office / Event Management Office (EMO).
• Provision of a standby crew during the Event period from maintenance and rectification.
